Shipping is one of the largest controllable expenses for any small business. Five practical strategies for cutting per-label costs without sacrificing delivery quality.

Why Shipping Costs Matter

For a small business, shipping is one of the largest controllable operating expenses. A few cents per package compounds quickly: at a hundred orders a month, a 50-cent saving per label adds up to $600 a year. At a thousand orders a month, you're looking at six thousand dollars. The good news is that shipping is one of the easiest line items to optimize — small changes to how you choose services and pack boxes can move the needle immediately.

Pick the right service for the package

Most small businesses default to a single shipping service for every order. That's almost always the wrong choice. USPS Ground Advantage is the cheapest option for anything under one pound, and it delivers in two to five business days for most domestic destinations. Priority Mail is the right call for heavier packages or when speed actually matters to the customer.

A simple rule: weigh the package first. If it's under 15.99 ounces, use Ground Advantage. If it's heavier, or the destination is more than three zones away and the customer needs it in two days, use Priority Mail.

Optimize the weight you ship

Carriers bill by either actual weight or dimensional weight, whichever is greater. Dimensional weight is calculated from the box's volume — a large, light box costs as much to ship as a small, heavy one. Two ways to reduce billed weight: use the smallest box that fits, and switch to lightweight fillers like air pillows instead of bubble wrap or paper.

Buy postage online, not at the post office

Retail postage at the counter is the most expensive option. Buying labels through any online shipping platform unlocks commercial rates, which are discounted ten to thirty percent compared to retail. The savings pay for themselves on the first batch of labels.

Batch your shipments

If you're processing orders one at a time throughout the day, you're losing time and money. Hold orders until end-of-day, then process them all in one batch. Bulk uploads through a shipping platform can generate a hundred labels in under a minute. The time you save can be reinvested in customer service or product development.
